Pre-Order option may be available for only select products. A product may be identified to have an option for pre-order either through information specified on the corresponding product page itself or as part of communication from a UrushiPen representative.

All deposits / payments must be paid to UrushiPen via Shopify Payments, PayPal, or any other method that is approved by UrushiPen. Payment via PayPal may be made through a PayPal invoice. Lay-Buy layaway plan is cannot be used for pre-orders.

A minimum transaction value of 50% deposit of the price is required to initiate the Pre-Order. The remaining balance of the order total is required at the time of production completion for the order to dispatch (if the original deposit was 100% of the order total, no additional payment would be required; UrushiPen would contact customer as a courtesy check to verify they are ready to receive shipment).

UrushiPen will provide estimates for lead time of producing the pen. Note that urushi and maki-e works require significant time, concentration, and skill to execute. With that mind, it is important to note that UrushiPen can make attempts to facilitate the creation of these pens. However, much of the lead time is out of the control of UrushiPen – lead times are primarily driven by artisan availability, skill levels, and amount of works that are in the queue for the artisan, and, therefore, UrushiPen will not be responsible for delays outside of their control. At any point during the wait, if UrushiPen observes that a pen may exceed its original expected lead time, a representative will communicate the delay to the customer.

UrushiPen may use a Shopify app to process pre-order transactions. Due to limitations on these apps, partial payments may be established so that the remaining balance (which is the order total minus the deposit) may have a due date that is very distant from the communicated lead time such as 1 year. This is established to ensure that the customer does not get auto-charged if the product is ready by the originally anticipated lead time. When the product is ready, an UrushiPen representative will communicate this to the customer, in which the customer will then be able to access the original customer order page to pay out the remaining balance. For pre-orders, remaining balances can be paid out at anytime by accessing the original customer order page and clicking on the “Pay now” button.

Pre-Order Cancellations

Cancellation by UrushiPen.com: If payment of an installment is not received by the due date or the goods become unavailable due to circumstances beyond UrushiPen.com’s control, UrushiPen.com may cancel the Pre-Order. Following cancellation, UrushiPen.com will refund the full payments received if the goods become unavailable. If the order is cancelled due to the payment not being completed within the 90 days of completion of product, a 50% penalty (50% of the order total) will be deducted from the refund.

Cancellation by you: You may cancel the Pre-Order by sending a written notice to info@urushipen.com stating your request to have the order cancelled. Once the request is approved, UrushiPen.com will refund the payments received within 30 days from the date of approval, less the 50% penalty (50% of the order total) which covers unrecoverable costs such as non-refundable credit card processor transaction fees and the processes that the team undergoes to place the product on hold.

If you are approved for the refund, then your refund will be processed, and a credit will automatically be applied to your credit card or original method of payment, within a certain amount of days. 

Group Buys

UrushiPen defines Group Buys to be a format where a minimum number of pens need to be acquired of the same part number in order for pre-order to be initiated and the production of pens to start. For example, a Group Buy has been set up for product part number XYZ. UrushiPen may need 5 orders of pens to be placed in order (all which meet the minimum deposit value) for the Pre-Order to occur. If 5 of these pens are ordered, then pre-order will officially initiate so that all customers who entered the Group Buy will be able to obtain the pen once it has complete production. If Group Buy minimum is not achieved, all customers who entered in the Group Buy will be refunded 100% of their deposit.

Referral Rebates for Group Buys

As a way to thank our loyal customers and welcome new customers, UrushiPen may open up a Group Buy for referral rebates by communicating it on the product page and/or in other communication channels. If referral rebates are offered as a promotion, it allows for a customer to receive a 10% rebate for every customer they refer (10% of the entire order total of the Group Buy) with a maximum rebate of 100%. “Referee” is defined here as the customer who has already place an order for the pen and refers another customer, called the “referral” or “referred customer”, who also places an order for the same pen on Group Buy. The total rebate that a referee can receive cannot exceed the total price of the referee’s pen order. In order for the referee to receive credit for the referral, the referee must obtain a referral code from UrushiPen and the referral code must be applied at checkout by the referred customer. Due to the limitations of the UrushiPen payment platform, Group Buy customers must payout all of the balance first before the rebate can be paid out; rebate for Group Buys are paid out when the product is ready to ship.

If referee chooses to cancel a Group Buy order before the product is shipped to them, the pre-order cancellation policy’s 50% penalty still applies.

If a referee chooses to return their pen, the refund policy will still apply; the maximum refund for a referee will be based on the net amount remaining following the rebates and restocking fee stated in the Refund Policy.
